1. Booking Process
1.1. Enquiry & Quote: Upon receiving an enquiry, we will discuss your requirements and provide a tailored quote for our services.
1.2. Deposit: To secure your booking, a non-refundable deposit of £100 is required. This deposit will be deducted from the total cost of our services. Your booking is not confirmed until the deposit has been received and we have issued a booking confirmation.
1.3. Balance Payment: The remaining balance must be paid no later than 14 days prior to the event. If the balance is not paid by this date, we reserve the right to cancel the booking without refunding the deposit.
1.4. Late Bookings: For bookings made within 14 days of the event, full payment is required at the time of booking.
2. Cancellations and Amendments
2.1. Cancellation by the Client:

Cancellations must be made in writing (email is acceptable).

The deposit is non-refundable.

Cancellations made 30 days or more before the event will not incur any further charges.

Cancellations made less than 30 days before the event will result in a charge of 50% of the total booking fee.

Cancellations made within 14 days of the event will be subject to a charge of 100% of the total booking fee.
2.2. Cancellation by The Best Disco:

In the unlikely event that we are unable to perform due to circumstances beyond our control (such as illness or equipment failure), we will make every reasonable effort to provide a replacement DJ.

If a replacement is not possible, we will refund any fees paid, including the deposit, in full. No further compensation will be provided.
2.3. Amendments: If you wish to amend any details of your booking (e.g., event start or finish time), please contact us as soon as possible. We will make every effort to accommodate changes, but they may be subject to availability and additional charges.
3. Services Provided
3.1. DJ Services: We will provide DJ services, including professional equipment, sound systems, and lighting (where applicable), as detailed in your booking confirmation.
3.2. Special Requests and Playlists: We are happy to accommodate special song requests and will work with you to create a playlist that reflects your music preferences. However, we reserve the right to decline requests that may be inappropriate or disrupt the event's atmosphere.
3.3. Set-Up and Break-Down: We will arrive in sufficient time to set up our equipment before the start of your event and dismantle it at the end. Please ensure that the venue allows adequate time for both set-up and break-down.
4. Client Responsibilities
4.1. Venue Requirements: The client must ensure that the venue provides suitable access, power supply, and any necessary licenses for the performance. The client is responsible for informing us of any restrictions or special requirements of the venue prior to the event.
4.2. Health and Safety: The client must ensure the safety of our equipment and personnel during the event. Any damage caused to our equipment by the client or their guests may result in additional charges.
4.3. Venue Restrictions: Please notify us in advance if there are any sound or equipment restrictions at the venue. We are not liable for any disruptions or limitations caused by the venue’s policies or restrictions.
5. Event Timing
5.1. Performance Time: Our standard performance duration for evening events is up to 5 hours (e.g., 7:00 PM to midnight). Additional time can be arranged in advance and may incur extra fees.
5.2. Overtime: If the event runs over the agreed time, and the DJ is required to continue playing, overtime will be charged at a rate of £100 per hour, payable at the event.
5.3. Breaks: The DJ may require a short break during longer events. Music will continue to play during any breaks.
6. Liability and Insurance
6.1. Public Liability Insurance: The Best Disco holds valid Public Liability Insurance, and all equipment is regularly tested for electrical safety (PAT testing). We are happy to provide certificates upon request.
6.2. Liability: We are not liable for any indirect or consequential loss or damage, including but not limited to loss of enjoyment, profits, or contracts. Our liability is limited to the total amount paid for our services.
7. Force Majeure
We are not liable for failure to fulfill any part of this agreement due to circumstances beyond our control, including but not limited to, acts of God, pandemics, natural disasters, war, or strikes. In such cases, we will make every effort to reschedule the booking.
8. Privacy and Data Protection
We take your privacy seriously and handle your personal information in accordance with our [Privacy Policy], which complies with GDPR regulations. We will only use your data to manage your booking and communicate with you regarding our services.
9. Governing Law
These terms and conditions are governed by and construed in accordance with the laws of England and Wales. Any disputes arising under or in connection with this agreement will be subject to the exclusive jurisdiction of the courts of England and Wales.
